Physical existence
Is the asset at its recorded location, or has it been moved or lost?
We count your assets where they actually are, verify their condition and location, and reconcile every item with your existing records, so you end up with an asset register you can rely on.
The asset register in your accounting or ERP system does not always reflect what is actually on site. Over time, equipment moves between departments, items are disposed of without updating the register, and new assets are recorded with vague descriptions or not recorded at all. The result is a register you cannot rely on for depreciation, insurance or replacement planning.
A field inventory reconnects the register with reality: we visit every location, verify each asset's existence, condition, location and custodian, then reconcile what we found with your current records. The goal is not just to count assets, but to deliver a reliable register that can be maintained after the project ends.
Is the asset at its recorded location, or has it been moved or lost?
Recording the asset's condition and photographing it when needed to document its state at the time of the count.
Building, floor, room or area, with location maps when required.
Linking each asset to the user or department responsible for it, for easier follow-up and accountability.
Data for every asset: number, description, location, condition and responsible party, with photos when needed.
Unregistered assets, registered assets not found, moved and duplicated assets, classified for easy review.
A summary of results and recommendations for updating the register, in a format that can be imported into your system.
| Type | What it means | What happens next |
|---|---|---|
| Unregistered asset | Found on site with no matching line in the register | Added to the register after verifying its source and value |
| Registered asset not found | In the register but not found on site | Reviewed with the responsible department before any disposal is approved |
| Different location | The asset exists but in a different location or department | Its location and custodian are updated |
| Duplicate record | The same asset is recorded more than once | Records are merged and corrected |
Disposal and accounting adjustment decisions remain with your management; our role is to deliver documented, clear results so those decisions are made on a sound basis.
The value of an inventory fades if procedures are not tightened afterwards. That is why a count is usually paired with asset tagging (barcode, QR or RFID) to make the next count faster, and with fixed asset management to document transfers, additions and disposals. The updated register can also be connected to your ERP system.
It is a physical count of assets on site that verifies their existence, condition and location, then links each asset to the available records.
A field inventory results register, a list of discrepancies and observations, and a report that helps update the asset register.
Inventory results are reconciled with current records, and discrepancies and unknown assets are listed clearly for review.
Data and photos can be documented when needed; this is defined in the scope agreed before work starts.
Share the asset categories, locations and approximate number of assets, and we will propose a suitable scope and timeline.
